How to program calendar for multiple offerings, but only one can be booked.

Hi,

If we want 5 offerings available to book on the hour from 12pm to 3pm, but only 1 of them can be booked at a time due to staff. how do we program this to make sure the other offerings then become unavailable.

We have looked at creating a 'Room', however, this then means the offerings within the room can not be created adhoc, outside of the room. For example, if a taster session is one of the 5 offerings, if someone calls up and can't make the predetermined session times, but can make, say 6pm, how do we do this. Do we really need to create multiple offerings in room and adhoc?

  • I'm not sure I understand why just using an simple offering called "ROOM" with a maximum booking count of "1" won't work? The resource doesn't need a schedule, hence you should uncheck the box labeled "schedule shows available times". Then any of the offerings can be scheduled adhoc, but once the "room" is taken... the other offerings are unavailable.

    But perhaps I don't understand your requirements though...

  • Thanks Andy, we are talking the same thing - that works. we were not unchecking the box.

    So we have created an 'Instructor Room', open 1pm to 4pm Mon - Fri and attached a 3 offerings to that room.. 1 booking per hour.

    Do we now have to schedule all the offerings to 1pm,2pm,3pm and then publish online. How will this look to customers on the widget, will the program only show the available times online and remove times when room is full?

    to confirm: If the room is full, but a manager agrees to an over the phone booking for an extra session, we can still override the 'room', by pressing yes at the (the room is full) warning?

  • Slots that are full will be shown as "NOT AVAILABLE" online. Still visible, but not bookable.

    Staff can always override a limitation when making bookings directly in RGP.

  • Hi Andy,

    Similar sort of question to the one above really. I am looking at using the the resource i.e. Instructor room but some days I have 2 instructors in so want 2 concurrent bookings or 12 participants as the limit and other days I want 1 booking or 6 participants as the limit from a choice of 4 or 5 offerings. Is there a way of setting this up? I'm trying to set it up so it is super simple for reception and online bookings so we have less telephone bookings and less ad hoc or confusion with the calendar.

  • No, I can't think of a way to do this in the calendar. It's flexible, but not infinitely so :)
