Scheduling Software
I am wondering if any gym managers out there have had success with any staff scheduling software on the market (i.e. Shift Planner, When I Work, etc). I'd be interested in hearing recommendations, particularly from those with multi-gym operations.

I don't have any specific recommendations, but whichever one you select... make sure it has ical feeds available as then you can display your staff schedules within RGP once the scheduling/booking module is released.
We have been using WhenToWork for the past 4 years and are pretty happy with it. We publish the schedule once a week, staff get email notifications, and can put shifts on a trade board to swap them when needed. It works well and is not too expensive. And it does what Andy said, so it will integrate well with the upcoming RGP scheduling features.
We tried out FindmyShift.com for about a month on the trial and were very impressed. Email notifications, text message notification option (extra charge), staff can log in and swap their own shifts (if you want to allow that feature), etc.
Full ical support too. Good pricing too - you can have multiple rosters (e.g. one for general staff, one for route-setting, etc) and it's same price as the pricing is per site/climbing-gym.
Never had heard of WhenToWork though so going to have a look at that also myself.
We use FitnessScheduler.com at our club too! with the help of it our client easily view and reserve up-to-date classes on our website from any device. Their support team is very helpful when I have questions. It’s super user friendly and literally takes care of everything. I hope it will also also help you.
We're currently looking to migrate our rota system to such online rotas like WhenToWork and GoAssign; both have ical feeds available. Is there any tutorials as to how to link a calendar to RGP's calendar?
This would greatly aid our research as to which rota service we should be utilising.
There is no video on ical feeds, but there really isn't much to it....
Basically, if your service publishes an ical feed - the calendar events in that feed will be displayed within your calendar (you can show or hide the feed). You can have multiple feeds displayed. You can also filter feeds on substrings, for example an employee name, if your service doesn't split the feeds by employee.
But ical feeds are READ ONLY, thus you cannot interact, move, or change any of the events.
Hi there, we are currently in the process of rebuilding our entire site and are trying to lay the framework for the new scheduling system. Is there somewhere to download the Beta version that I'm completely overlooking? I know it's the first step of the process outlined in the "Initial Steps" section & it says instructions will be provided, but I think I must be overlooking something? Any help would be greatly appreciated!
Sorry for the confusion... it's actually not an open beta. Thus you'll get the release on September 8th.
In the interim, if you look at the docs page/webmaster guide... it has the outline of how the system will integrate with your website and examples.

Hope this helps

Actually, there is a video for ical feeds. At the link below:

Hi guys,
I am a swim head coach using one employee scheduling software which happend to be a 'bullseye' for my coaching team in general. That's why I believe that could help to you in making a decision. I understand you have a multi locations/departments so that's why I would recommend NimbleSchedule - www.nimbleschedule.com. If it turns you need additional feature they will most likely develop it without any hesitation.
A+ to Nimble!
Hi,
I have a very positive experience with www.nimbleschedule.com as a scheduling cluod-based solution. So, highly recommended for all gym managers.
Shift Planning also works really well :)
Hi folks,
I know this is an old thread and I hope you don't mind the shameless link drop, but hopefully it should be of some use.
I'm the co-founder of a staff scheduling platform called RotaCloud (https://rotacloud.com). We've got quite a few climbing gyms on our books including ROKT, who kindly provided us with a video and written testimonial which you can check out here: https://rotacloud.com/case-studies/rokt/
Our platform has iCal feeds which you can use to import your schedule into RGP as well as loads of other useful stuff like automatic email/SMS/push notifications and mobile apps for iOS and Android for both managers and staff. You can easily manage shifts swaps, availability and annual leave too.
It's also really simple to setup and manage multiple sites all under one roof.
Feel free to check out our site, and if you have any questions, just ask.
