How can I change payment type after payment is made

Hi there

Sometimes my employees click VISA instead of cash when customer is paying split with cash and check. How can I easily correct this next day when I come to work without running custom tsql on the DB? I've done this previously manually (delete z-out, correct the payment type in DB, create new z-out).

  • My first question is why isn't your employee catching this in the z-out and doing an adjustment there? Ideally, the adjustment should be detected BEFORE closing out the register. And presumably the numbers don't match between with batch and the z-out, so it should be clear to the employee when closing out?

    Alternately, delete the z-out yourself and make a new z-out putting in the adustment.

  • yep, I deleted old z-out, fixed error and made z-out again for same date range.

    when closing and my employee catches the error, should he/she just void the payment that was made to VISA and then create new payment with CASH ?

  • Yes, ideally I think that error should be fixed at closeout - so your employee should create it.

    Options to correct it:

    * Void payment and do a new transaction
    * Create a new transaction and use the split payment to subtract the visa amount and add the cash amount
    * Use the z-out feature to create an adjustment.

    Allow payment types to be changed on an old transaction is full of risks and complications and would also not offer an audit trail. At least with the methods above you can SEE what happened after that fact.

  • why is it not possible to void payment if it's not recent. If I try to void an invoice made in the morning before I make checkout, RGP wont let me void it.

  • It actually should allow you to void an earlier invoice, unless it was to the same person. You only run into problems if the customer has a later invoice in the day. This is due to an (unfortunate) limitation in how RGP handles accounting.

    Are you selling everything to Anonymous? That could be part of th eproblem.

  • We're not selling everything to Anonymous but for chocolate bars and drinks we don't need to know who bought it.
