Guest Passes

Hello,

We are about to start using the guest pass function in RGP. In settings, I've clicked to allow only for one pass per family unit. However, testing the feature it fails to recognize the family unit. How is that defined in RGP? I tried a family and couple that would have had their membership linked via POS system.

  • Family unit are memberships linked by the responsible party feature.... Not just linked by the pos.

  • Andy, we just turned on guest passes for our members using the same settings as above, one pass per family unit and are seeing the same issue. Instead of one per unit, each member of the family is receiving a guest pass. These are EFT customers set to bill responsible party; is there something else that needs to happen in order for the one pass per unit to work as expected?

  • All family members will show one guest pass available. The logic is checked at consumption. So on the second guest pass used by the family member in a month, there will be a warning/stop.

  • I'm trying out the guest pass functionality.

    In my case I set "2 guest passes per month", and checked "Allowance is per family unit".

    When I go to use a guest pass I choose a member and it shows 2 available, and I use one.
    Then I go to use another guest pass, I choose a different member from the same family. It shows two available and I use one.

    Then I go to use another guest pass, I choose a different member from the same family. It shows two available and I use one... no warning or stop.

    It seems like the "Allowance per family unit" isn't working as expected. What does "Allowance per family unit" refer to?

  • Allowance per family unit refers to a group of memberships related by responsibility... meaning: a parent (or individual) and any responsible parties as defined by the Membership tab in their customer record.

    When you say family, what are you referring to?

  • I'm using the language/terms used in the application.

    I've created 3 members.
    Justin
    Cassie Responsible/Family Member = Justin
    Parker Responsible/Family Member = Justin

    In my test scenario described above, I used one guest pass from Cassie, and another from Parker, and then in the 3rd step I used one from Justin.

  • Are you using the "Member Guest Pass" button in CHECK-IN? That's the button that enforces (most) the rules. The Guest Pass tab on a customer record is designed really for advance management of guest passes (deletion, manual uses, etc.)

    With the "guest pass allowance is per family member" setting, when you use the USE GUEST PASS button it will force you to select the responsible party... you cannot use a guest pass from a child.

  • That is correct Andy.

    I was on the "Guest Passes" tab of the customer record.
    I clicked "Use Guest Pass" on that tab.

    I do see that from the Check-in Module "Use Guest Pass" works as you describe.

    It does seem strange that from the customer record it enforces the # of passes limit, but does NOT enforce the "guest pass allowance is per family unit" rule.

  • Hello Jon, I did confirm the behavior as you described for Family members via Data Entry. Thank you for the information and we will get this fixed in the next RGP software update. Until then, please use the Guest button at the Check in screen.
