Expiring concessions?
Hi All,
Just wondering what the majority use for a reminder when someone's concession is going to expire?
I've got all the various valid concessions put in as subtypes and these give me the cues as to what to charge our guest members in the POS window. But I was wondering how can I keep track of when the climber's concession runs out (the wiley little buggers don't usually volunteer that info to me).
Is it easiest to put an alerting note in and just keep an eye on the date?
Andy - you mentioned a few months ago about 'Triggers' any movements on this concept as it sounds like a perfect application.

By "concession" you mean memberrships? The RGP check-in module alerts when all memberships are going to expire. Are you not using that application?
I haven't added triggers yet, and instead added a date option to the check-in alerts.
I'm using the check in module.
But by concession I mean if and individual is a child or a student or on welfare or a member of the state climbing social club, they get a discounted rate. But most of these concessions have an expiry attached to them.
I sell a full price membership and a concession membership and these dates are tracked by RGP perfectly.
But most of our customers won't commit to a membership (I've changed my pricing to encourage more membership sales) and come in as guest entry (full price or if they qualify, a concession price) - so I would like some way of being alerted if their concession has expired so I can charge them the full price.
I guess that a lot of places ask that people show their concession cards each visit?
Just wondering what the others do?

We struggle with this as well with students, and New Zealand Alpine Club members, etc. I asked about making members have a variety of payments, from casual to punch card, to EFT, or prepaid. That way you could have a member that gets a discount for the period of their involvement in a group (club, student, etc) and RGP would easily track that for you. You could set an end date for that membership ending when their membership to said club ends, and they could pay causally or buy a punch card or a prepaid membership etc.
Currently we use the new alert on date function and alert a week prior the their end date. Thanks for that function by the way Andy. Before that, we either had a warning every time they came in, or we would forget to look and see when the date was up.
I really think allowing casual and punch card memberships in addition to EFT and prepaid would be a great function. You could easily reward loyalty, even if they pay casualy, by offering a discount on selected items (proshop or snacks, etc) with the purchace of a VIP membership. Or you can offer a club affiliation membership which provides a discount on entry for people that belong to certian clubs. Making a membership in RGP allows for simple and effective tracking of end dates and numbers that are reciving a discount because of a club affiliation.

What a lot of people do not know is that theaters have to have high prices on concessions. That is where theaters obtain the most profits and otherwise, ticket prices would be over the top and nobody would go to the movies. Source of article: Good reason exists for movie theater concession prices. One reason snacks cost so much in movie theaters is exclusivity. If a customer gets hungry or thirsty in an average movie theater, he or she has only one option. It's not as if a hungry theater patron can pause the movie at some point and order a meal from a nearby restaurant. The theater's concession stand is generally the only sanctioned source for food and drink, so the theater's manager can legally place a substantial surcharge on sales. This is the same reason why snacks can also be more expensive at convenience stores or airports. The venue literally has a captive audience.
OK, I think there has been a little confusion over my use of the word 'concession'.
I have been using it in the Australian context where 'giving a concession' means that you allow them to do or pay less than is required of the general public. So in my gym I allow low income earners, students, children under 15 and members of the local climbing clubs in at a discounted (or concession) rate.
henryZ seems to be using it in a different context - where concession is something that is added to an entry such as food.
At any rate, using the 'Alert on Date' function on Notes as suggested by Clay is a little slow in its execution but has been working great for the last year.

I've read through the post above. We're in a similar situation where we allow someone to be classed as a student for one year without re-checking their student ID. Other concessions have different time periods (unemployed- every six months, trade - every six months, OAP- once only). Manually configuring the alert on date would never work in my centre- we have far too many student registrations in September and October each year to do this!
Any other suggestions? On my current system (haven't migrated yet) each member has a 'registration' in addition to a subscription. We can set that registration to expire at a certain time regardless of their subscription which is how we manage these membership types.

Custom policies 1 and 2 can be set to expire after X months. Check Settings -> Waivers / Custom.
Not sure this is useful in your scenario, but those policies can be set to expire.
I tried this but there isn't an alert when the customer checks in, so our Receptionists wouldn't know that they need to revalidate their concession.
Other UK gyms use exactly this feature to generate alerts....
A new climber gets "Registered" or joins the "12 month concession". Staff checks the policy. It "expires" in 12 months and gets unchecked. If the "Alert Is Missing" is checked on the policy setting then it will alert.
Again, this may not be useful for your particular case though...

Would it be possible to have an alert if present tick box for these policies? That way it will only alert if they are a concession rather than if they are not.

No, I don't intend to modify that feature anytime soon, sorry. Notes can be used to alert in this capacity though.
