Reporting : Punches remaining, 1 or less...

Hi,

I'm trying to run a customer query (I hope to be able to use the resulting code as an auto email) that works out when a person is down to their last punch only.

In the customer queries, I can select 'punches remaining', but the modifier is only 'at least remaining', so there seems to be not a way of finding people who ONLY have one punch remaining... what can do here to make this work?

Obviously then, I'd like to use the query to then send an auto email saying that the punch card is almost used up, please buy another!

  • Customer queries can't be used within email actions as the SQL is totally different, especially since the email actions are based on an "action" performed on the previous day. In the case of one for punches remaining, it would need to be triggered by a punch being used in the previous day... and the customer queries don't offer that kind of logic.

    No built-in email action for "out of punches" is available, though if it is something you are seriously interested in it could be developed for a one-time fee of $250 (my standard custom report/query) fee. It's a couple hours work for me to make and test one.

  • Hello, bumping this thread because I have a similar question. Andy - I know you are saying this kind of report cannot be hooked up to e-mail and that is totally fine. We would however like to run that same report to generate a list of customers who have no more than x punches remaining (let's say 5 punches or less). Is there anyway to edit this query to say less than instead of greater than? The e-mails don't matter, just want the list.

    You can't change that query constraint within RGP but if you're just looking to generate a list of people with fewer than 'x' punches you can run the general report 'Customers - Punches Remaining' (it's on the standard reports tab). This report has only two columns, customer name and punches remaining. If you scroll to the bottom of the report (or export to excel and sort on punches in ascending order) you can easily see all of your customers with fewer than 'x' punches remaining and copy and paste their names to wherever you want. You can even set that report to email automatically at regular intervals if you want to use the email as a prompt to remind you to follow up with these customers.

    If it's critical that you have a report that shows only customers below a certain number of punches we may be able to create that report for you for a one time fee of $250.
