Capturing Custom Text and Source Data Using Rock Gym Pro Forms

If you want to capture specific customer data in Rock Gym Pro using Rock Gym Pro forms, you can add custom questions to your waiver form that map directly to RGP’s Custom Text 1, Custom Text 2, or Customer Source fields. Step 1: Decide on Your Question Type

Before adding your question, decide whether it should be:

Best Practices

  • For Source Questions:
    Use a closed-ended format like a Choice List. This makes it much easier to filter and report on responses consistently.
  • For Custom Text Questions:
    Choose the format based on your purpose:
    • If you want to report on specific answers, use a closed-ended format (e.g., Choice List, Yes/No).
    • If you want to check whether any response exists (regardless of what it says)
      OR 
      If reporting isn’t a priority or your primary purpose is to display upon check-in, an open-ended format, such as a text box may also suit your purposes.
       

Tip: Closed-ended questions help keep your data clean and make querying easier. Open text fields offer flexibility but may require more effort to analyze..


Step 2: Set the Customer Target Field

While adding your question using the steps in the articles above:

  1. In the Edit Form screen, locate the Customer Target dropdown.
  2. Choose the appropriate Customer Target:
    • Customer Source → Maps to Customer Source
    • Custom Text 1 and Custom Text 2 will be listed by the Custom Text Field label you have in Data Entry > Manage > Settings > Waivers/Custom tab.  

      In the example below, Custom Text 1 is "Pronouns" and Custom Text 2 is "Text opt in"

 


Step 3: Publish and Test Your Waiver

After setting up your question:

  1. Click Publish Design to Live to activate the updated waiver.
  2. Complete a few test waivers.
  3. Confirm that the answers to your mapped questions appear correctly in the corresponding RGP fields.
  4. Check that the waiver syncs and populates the customer record as expected.
    1. On the Custom tab of customer records for Custom Text 1 and Custom Text 2.
    2. On the Tags tab of customer records for Source.
