How to Remove, Waive, or Offer a Free Enrollment Fee for a Membership Promotion

If you want to run a promotion that waives an enrollment fee, removes a signup fee, or offers free enrollment, the recommended approach is to create a separate promotional offering.

This allows you to remove or adjust the enrollment fee for the promotion while keeping your standard membership offering unchanged.

Tip: Instead of removing the enrollment fee completely, some facilities leave the fee visible and set it to $0.00. This can help highlight the value of the promotion to customers.


Before You Start

Before modifying enrollment or signup fees, keep the following in mind:

  • Do not edit your existing offering.
    Instead, duplicate the offering and modify the promotional version.

  • Enrollment fees are configured as products in the pricing matrix.
    To waive or remove the fee, you will remove the product or set the purchase price to $0.

  • Promotions often use a separate widget.
    If you create a promotional offering, you may need to update the widget code on your website.


Basic Overview

To run a free enrollment promotion or waived signup fee special:

  1. Duplicate your existing offering.

  2. Locate the enrollment fee product in the pricing matrix.

  3. Remove the product or set the purchase price to $0.

  4. Update your website to use the promotional offering.

This keeps your standard membership configuration intact while allowing you to run limited-time promotions.


Step 1 – Duplicate the Existing Offering

  1. Go to:
    Data Entry → Manage → Online Membership Offerings – Configuration

  2. Locate the offering you want to promote.

  3. Select the offering.

  4. Click Copy.

  5. A duplicate copy of the offering will be created and added to the bottom of your list of offerings.  

Duplicating the offering copies all existing configuration settings so you only need to modify the promotional details.


Step 2 – Locate the Enrollment or Signup Fee in the Pricing Matrix

Open the duplicated offering and navigate to the Membership Matrix Pricing section.

Locate the product that represents the enrollment or signup fee. This is commonly named:

  • Enrollment Fee

  • Startup Fee

  • Activation Fee

  • Signup Fee

  • Joining Fee


Step 3 – Remove or Waive the Enrollment Fee

In the Membership Matrix Pricing section, locate the product that represents the enrollment fee.

Promotions that waive enrollment fees or offer free signups are commonly used for seasonal campaigns, grand openings, or membership drives.

There are two ways to configure a promotion that removes the enrollment fee.


Option 1 – Remove the Enrollment Fee Product

You can remove the enrollment fee product from each pricing row in the matrix.

This prevents the fee from being charged during checkout.

This is the simplest approach, but the customer will not see that the enrollment fee has been waived.


Option 2 – Set the Enrollment Fee to $0 (Recommended)

Instead of removing the product, you can leave the enrollment fee in the pricing matrix and set the Purchase Price to $0.00.

You may also want to update the Friendly Name so the promotion is clear to customers, such as:

  • $0 Enrollment Fee Special

  • Enrollment Fee Waived

  • Limited-Time Free Enrollment

  • No Signup Fee Promotion

Keeping the fee visible at $0.00 helps customers see the value of the promotion.

For example, a checkout summary might display:

Enrollment Fee — $0 (Normally $50)

This makes it clear that the customer is receiving a discount as part of the promotion.


Optional: Create a Separate $0 Enrollment Fee Product (Recommended)

For reporting and tracking purposes, some facilities prefer to create a separate product for the promotion, such as:

$0 Enrollment Fee Special

Using a separate product can make it easier to:

  • Track how many memberships were sold during the promotion

  • Measure the impact of marketing campaigns

  • Report on promotional sales


Step 4 – Update Your Website Widget

If you want customers to purchase the promotional version of the membership:

  1. Copy the widget code for the promotional offering.

  2. Replace the widget code on your website.

When the promotion ends, you can switch the widget back to the original offering.
