Preparing for Scheduled RGP Downtime

Rock Gym Pro will undergo scheduled maintenance on Thursday night, December 4th, from 9:00 PM - 10:00 PM PST (05:00-06:00 UTC 05-DEC-2025). Because our customers span many time zones, this window may fall late at night for some gyms and mid day for others.

RGP will be offline for up to one hour during this period while we complete an important performance upgrade.

This article explains what is happening and how to prepare.


Scheduled downtime details

  • Date: Thursday, December 4 (Friday, December 5 in many regions)

  • Start time: 9:00 PM PT / 12:00 am EST / 05:00 UTC

  • Expected duration: Up to one hour

  • Impact: The RGP application will be fully offline during this window

  • Global impact note:

    • North America: Late evening to very early morning

    • Europe: Morning hours

    • Australia and New Zealand: Afternoon hours

    • Asia: Midday or evening, depending on region

We chose this window based on systemwide usage patterns to minimize disruption as much as possible, but we recognize the timing may land during business hours for some gyms.


Why this downtime is happening

This maintenance enables Auto Scaling, which allows our system to increase capacity automatically as your member traffic grows. This upgrade improves:

  • Protection against slowdowns

  • Performance during peak usage

  • Long term reliability as your business expands

No manual steps are required from you for the upgrade, but a little preparation will help your team stay confident if the downtime interrupts normal hours.


How to prepare your gym

Notify your staff

Ensure your team knows the exact maintenance window and that RGP will be unavailable for up to an hour, especially if the scheduled time overlaps with your operating hours.

Plan for operations during the window

Depending on your time zone, the downtime may affect check ins, sales, or classes. Consider:

  • Printing class or event rosters in advance

  • Completing any expected sales or membership updates early

  • Having a manual check in process ready if needed

  • Checking Smartwaiver's online console for waiver submissions

  • Alerting staff to pause transactions until RGP comes back online

Ensure staff know what to expect

During the downtime:

  • RGP will not be accessible at all

  • No transactions, check ins, or updates can be processed

  • The system will return automatically when maintenance is complete

  • No restart or action is required on your end


After maintenance is complete

As soon as the upgrade finishes, RGP will come back online automatically. Your team can resume normal operations right away.
