Online Check-In Kiosk - Setup

Note: This feature is currently limited to RGP Cloud users.

RGP's Online Check-In Kiosk allows facilities to utilize a wide variety of web-enabled devices, allowing members and punch card holders to check themselves in upon entering the facility. This guide covers how to set up an Online Check-In Kiosk, including:

  • Checking your connection to RGP's API
  • Generating a one-time code
  • Opening the kiosk
  • Using the kiosk

Checking Your Connection to RGP's API

RGP's API facilitates communication between websites like the Online Check-In Kiosk and the database where all records, including check-ins, are stored. Before you can use the Online Check-In Kiosk, we need to ensure that the API can communicate with your facility's database. To check your connection to the API, follow these steps:

  1. Navigate to Data Entry > Manage > Settings, and click on the Integrations tab.
  2. If you do not currently have credentials entered in the "Rock Gym Pro API User" and "Rock Gym Pro API Key" fields, you will need to generate a new API key and add it. You can find instructions for generating a new key in our Generate API Key for RGP Cloud support article.
  3. Once credentials are present in the "Rock Gym Pro API User" and "Rock Gym Pro API Key" fields, click the Check Credentials button. If you see an error, you can follow the steps in the Generate API Key support article to create a new set of credentials and check again. Once the Check Credentials button indicates that your API key and username are correctly entered, you're ready to proceed!

Generating a One-Time Code

Each time you open the website for the Online Check-In Kiosk, you'll need to enter a new one-time code that tells RGP which facility the Kiosk should connect to and how you want it to behave. To generate your one-time code, complete the following steps:

  1. Open Rock Gym Pro's Check In module.
  2. Click Check-In Configuration in the top right corner of the module and select Start Online Kiosk.
  3. Select an option for the Display View and Checkin Mode settings you want to use with the kiosk. These settings determine whether you want to use the Online Check-In Kiosk in "Customer Facing" or "Staff Facing" mode, and whether you want the Online Check-In Kiosk to be used for check-ins, check-outs, or both.
  4. Click Get your passcode. RGP will generate and display a single-use 6-digit code.

Opening the Kiosk

Once you've generated a one-time code containing information about which facility you're connecting to and how you want the Kiosk to behave, you're almost done. To launch the Kiosk and input your code, complete the following steps:

  1. Open a modern internet browser, preferably Chrome, and navigate to https://checkin.rockgympro.com. This URL is displayed in the same window that shows your one-time use code in case you forget.
  2. Enter your one-time use code in the Code field and click Submit.
  3. The page will load your facility's Online Check-In Kiosk.

Using the Kiosk

The functionality of the Online Check-In Kiosk should be familiar if you've used an RGP Cloud workstation as a check-in kiosk in the past. If you haven't, here's how it works:

  1. Ensure that the "Scan or enter your card" field in the top left corner is selected.
  2. Scan a member barcode from a physical card or the RGPro Mobile App using an external scanner. You can also test the kiosk by manually typing in a barcode using a keyboard and pressing Enter.
  3. The Online Check-In Kiosk will create a check-in for the customer and display critical information. Depending on whether your kiosk is in "Staff Facing" or "Customer Facing" mode, the displayed information can vary, including customer photos, alerts, notes, and more.
  4. If the Online Check-In Kiosk displays an alert requiring staff attention, direct the customer to a staff member operating a full RGP workstation.
