Removing Employee Access in Rock Gym Pro

When an employee leaves your organization, you should remove their access across all Rock Gym Pro systems. This includes their staff permissions in RGP as well as any external dashboards they may have access to.

Follow the steps below to ensure access is fully removed.


1. Remove Staff Access in Rock Gym Pro

Update the employee’s customer record to remove staff-level permissions.

Steps:

  1. Search for the employee in Rock Gym Pro.
  2. Open their customer record.
  3. Click Edit.
  4. Change Customer Type from Staff to Guest (or another appropriate type).
  5. Save.

Result:

  • The user will no longer be able to perform actions that require a staff PIN.

Permissions Required:

  • Your Facility's RGP Admin(s)

2. Remove Access to the Payments Dashboard (RGP Payments / Stripe Custom)

If the employee had access to the Payments Dashboard, remove or deactivate their user account.

Steps:

  1. Log in to: https://payments.rockgympro.com
  2. Navigate to Users.
  3. Locate the employee and click Update.
  4. Remove access or mark the user as inactive.

Result:

  • The user will no longer have access to payment data or settings.

Permissions Required:

  • Your Facility's Payments Dashboard Admin(s)

Note: If the employee was listed as an Account Related Person on your Merchant Account, click on the button to "Update Account Details on Stripe.com" to remove them.


3. Remove Access to the Cloud Dashboard (RGP Cloud)

If the employee had a cloud seat, it must be removed.

Steps:

  1. Log in to: https://app.rgprocloud.net
  2. Navigate to Seats.
  3. Locate the employee.
  4. Delete their cloud seat.

Result:

  • The user will no longer be able to access your cloud environment.

Permissions Required:

  • Your Facility's Cloud Admin(s)

4. Remove as a Technical Contact

If the employee was listed as a technical contact, they may still be authorized to interact with Support.

Action Required:

  • From an existing tech contact email address, email Rock Gym Pro Support (support@rockgympro.com) and request removal of the employee as a technical contact.

Result:

  • The individual will no longer be authorized for account related requests.

Final Checklist

Use this checklist to confirm access has been fully removed:

  • Customer Type updated (Staff → Guest or other)
  • Payments Dashboard access removed (if applicable)
  • Cloud Dashboard seat removed (if applicable)
  • Technical contact removal requested (if applicable)
