Overview of OpenEdge+XWeb & EMV Integration (US Facilities Only)

With the OpenEdge + Rock Gym Pro integration, you can process POS credit card payments and membership billing directly from your RGP workstation. 

READ THIS FIRST AND GO THROUGH EACH POINT WITH OPENEDGE!


Requirements From OpenEdge

  • Two sets of XWeb credentials from OpenEdge. These can be linked to the same merchant account.
    • One credential should be configured for EMV/RETAIL
    • The other credential should be configured for MOTO (for your membership billing)
  • Both sets of credentials need to share the same XWebID.
  • If you have been using Rock Gym Pro previously with stored credit cards, the new credentials must use the existing XWebID as your current credentials. If not, you will lose your stored credit card aliases.
  • Only GlobalPayments is supported. If you are currently using TransFirst, OpenEdge will need to migrate you to GlobalPayments.
  • If you are a multigym facility, make sure OpenEdge has enabled alias sharing between your merchant accounts.
  • For each workstation requiring credit card processing, you will need to purchase a terminal from OpenEdge.
    • IMPORTANT - You cannot mix old-style credit card swipers and EMV terminals within your facility.  You need to move over all your credit card processing to the new EMV terminals and remove the old swipers.  You can swipe cards without chips into EMV terminals.  And you can key-in card numbers to EMV terminals for phone transactions.
    • Only the IPP320 is supported and you want the device without integrated signature capture. Your customers will continue to sign a printed receipt.
    • The device must be purchased directly from OpenEdge to be properly configured.
    • You cannot share an EMV device between workstations.


Known Issues

  • The EMV/RETAIL credential should be configured at OpenEdge in such a way as to allow the auto-submit to operate properly on the POS form. This means it should not prompt for address/zip when completing POS transactions. The submit button will still need to be pressed for returns.
  • ApplePay Alias Capture
    • While ApplePay “appears” to work for capturing credit card aliases, the returned last four digits do not match. This is a known issue with ApplePay and there currently is no workaround. Do not use ApplePay to capture aliases.
  • Card Validation Message
    • OpenEdge will automatically display a “card validation message” if the same card is swiped/inserted within a period of time. Your staff will need to press Yes to continue.


Installing and configuring your EMV Device

  • The EMV device requires software from OpenEdge to be installed and operating on your workstation.
  • Please contact OpenEdge for assistance with installing and configuring your EMV device. Allow 30 minutes to properly configure the device.
  • Any and all support for the OpenEdge software must be directed to OpenEdge.
  • Please see our detailed EMV Installation Instructions for both cloud and locally hosted deployments.


Storing Credit Card Aliases on Customers

When you press the Change Card button when editing a member, you can optionally choose to use the EMV device to capture credit card aliases. If you are currently using a workstation that does not have an EMV device attached, you can select No for this prompt to key-in the credit card manually using the keyboard.

If you are a multigym facility, make sure OpenEdge has enabled alias sharing between all your locations.

Running POS Transactions

When running credit card transactions at POS, you will see two buttons to process a credit card. One requires an EMV device and the other does not. If you are using a workstation that does not have an EMV device attached (for example in the back office), then you want to use the Key in credit card button to manually key in the credit card button.

NOTE:  If you are at a terminal with an EMV device, you should use the EMV device to manually key in a number as well. See the screenshot below. For this option, you need to press the CREDIT CARD button on the Payment Completion window (not the key-in button) and then use the EMV device to manually enter the card.

Card Validation Window: If OpenEdge recognizes the same credit card within a period of time (regardless of the amount), the following message will be displayed to your staff.

ApplePay / GooglePay (NFC payments)

NFC payment works for POS transactions with the EMV device. The transaction is recorded like normal with whatever payment method was provided (Amex, Visa, MC, or Discover). The customer needs to hold their phone up to the EMV device when prompted.

ApplePay/GooglePay does NOT return the last four digits of the card number. So you will not have that for record-keeping.

IMPORTANT!  There is a known issue with ApplePay/GooglePay regarding capturing aliases.  While these methods “appear” to work for capturing credit card aliases, the returned credit card #s last four digits do not match.  DO NOT USE APPLEPAY/GOOGLEPAY TO CAPTURE ALIASES.  ApplePay/GooglePay does work fine for POS transactions.
