Understanding Cloud Seat Types

When using Rock Gym Pro Cloud, every Cloud seat is assigned a Seat Type. Seat Types determine how a seat is used, who can access it, and how it is secured.

There are two Cloud Seat Types:

  • Personal Seat
  • Workstation Seat

Choosing the correct seat type helps ensure users can access Rock Gym Pro securely while maintaining the appropriate level of flexibility for your organization.

Personal Seats

A Personal Seat is designed for a single individual.

Because the seat is tied to a specific user, it can be used from different computers while maintaining secure access through two-factor authentication (2FA).

Common Uses

Personal Seats are typically assigned to:

  • Owners
  • General Managers
  • Operations Managers
  • Accountants
  • Back-office staff
  • Any employee who needs individual access from multiple locations

How Personal Seats Work

  • Assigned to one person
  • Can be used from multiple computers
  • Secured using the user's mobile device for two-factor authentication (2FA)
  • Cannot be shared between multiple employees
  • Can be assigned Cloud Organization Admin permissions when appropriate

Example

A manager works from the office during the day and occasionally logs in from a laptop at home. A Personal Seat allows them to securely access Rock Gym Pro from either location.

Workstation Seats

A Workstation Seat is designed for a specific computer rather than a specific person.

Multiple employees can use the same workstation, making this seat type ideal for shared computers.

Common Uses

Workstation Seats are typically assigned to:

  • Front Desk computers
  • Check-In stations
  • Shared office computers
  • Other computers used by multiple employees

How Workstation Seats Work

  • Assigned to a single computer
  • Can be used by multiple employees on that computer
  • Secured using a system-generated password
  • The password is stored securely and encrypted on the workstation
  • The password is not known by any employee
  • Cannot be used on another workstation without being reassigned

Example

A Front Desk computer is used by several staff members throughout the day. A Workstation Seat allows all authorized staff to access Rock Gym Pro from that shared computer without requiring a separate seat for each person.

Which Seat Type Should I Use?

Use a Personal Seat when access should belong to a specific employee.

Use a Workstation Seat when access should belong to a shared computer used by multiple employees.

If you are unsure which seat type is appropriate, consider whether the access should follow the employee or remain with the workstation. If access should follow the employee, choose a Personal Seat. If access should remain with the computer, choose a Workstation Seat.
