Changing a User's Cloud Seat Role

Cloud seat roles determine a user's level of administrative access within the RGP Cloud Dashboard, not within the RGP database. For information on how to change an employee's permissions or roles in RGP, see Customizable Staff Roles and Permissions.

If a user's responsibilities change, a Cloud Organization Admin can update their seat role without deleting or recreating the seat.

Available seat roles include:

  • Standard Seat
  • Group Admin
  • Cloud Organization Admin

Before You Begin

Before changing a seat role, verify that the user is assigned a Personal Seat.

Important: Administrative roles should only be assigned to Personal Seats.

Do not assign Group Admin or Cloud Organization Admin permissions to a Workstation Seat.

Personal Seats are tied to an individual user and protected by two-factor authentication (2FA). Workstation Seats are designed for shared computers and should not be used for administrative access.

Change a Seat Role

  1. Log in to the RGP Cloud Dashboard as a Cloud Organization Admin.
  2. Navigate to Seats.
  3. Locate the seat you would like to update.
  4. Select Edit.
  5. Locate the Role setting.
  6. Select the desired role:
    • Standard Seat
    • Group Admin
    • Cloud Organization Admin
  7. Save your changes.

The updated permissions take effect immediately.

Best Practices

  • Maintain at least two Cloud Organization Admins within your organization.
  • Assign administrative roles only to users who require them.
  • Review administrative permissions when staffing changes occur.
  • Remove administrative access promptly when employees change roles or leave the organization.
  • Never assign Group Admin or Cloud Organization Admin roles to Workstation Seats.
